1. Introduction
Sanatana School Online is committed to protecting the privacy,
dignity, and safety of children and families who use our platform. Our
platform is designed primarily for children aged 5 to 10 and is accessed
and managed by parents or guardians.
This Privacy Policy explains what information we collect, how we
use it, how we protect it, when we share it, how long we retain it, and
what rights parents or guardians have in relation to child data.
2. Global Compliance
Sanatana School is based in India but may be accessed by families
in other countries. We therefore aim to apply a child-safety-first
privacy standard that reflects the strictest applicable legal
requirements for children’s data and parental consent.
Where relevant, our practices are informed by:
- India: Digital Personal Data Protection Act, 2023 and Information Technology Act, 2000.
- United States: COPPA, which requires verifiable
parental consent for the collection, use, or disclosure of personal
information from children under 13. - European Union: GDPR Article 8, which requires
parental authorization for child consent below the relevant age
threshold set by the member state, up to 16. - United Kingdom: UK Age-Appropriate Design principles and child privacy expectations.
- UAE: Applicable child digital safety and privacy requirements.
- Australia: Privacy Act 1988 and Australian Privacy Principles.
- Canada: PIPEDA and related child privacy expectations.
- Brazil: LGPD.
- Singapore: PDPA.
For all other countries, and for any situation where the law is
unclear or varies by location, we apply a conservative global standard
and require parent or guardian involvement for all children under 18.
If local law is more protective than this Policy, we will apply the more protective rule to the extent required.
3. Parent / Guardian Consent Framework
We require a parent or lawful guardian to create the account, provide consent, and supervise the child’s use of the platform.
We may use age-gating, OTP verification, consent logs, and
additional verification steps where required to confirm parent identity,
age, and authority.
Parents may withdraw consent, request deletion, or restrict certain
uses of child data, subject to legal and operational limitations
described in this Policy.
4. What We Collect from Parents
We may collect the following parent or guardian information:
- Name.
- Email address.
- Mobile number or WhatsApp number, if provided.
- Login and verification details, including OTP and account confirmation records.
- Billing and transaction metadata.
- Payment status information received from the third-party gateway.
- IP address, browser type, device type, and general usage analytics.
We do not store full card numbers, CVV numbers, net-banking passwords, or similar full payment credentials.
5. What We Collect from Children
We aim to collect the minimum data reasonably required for learning
delivery and safety. Depending on the feature used, we may collect:
- Child first name or chosen display name.
- Age band, such as 5–7 or 8–10.
- Learning progress and completion status.
- Homework submissions, drawings, reflections, quizzes, badges, and milestone records.
- Voice notes or audio submissions.
- Parent-approved videos, if submitted.
- Full name only if the parent chooses to provide it for a certificate or formal recognition feature.
We do not intentionally require or request:
- School name.
- Home address.
- Exact location.
- Biometric data.
- Government ID of the child.
- Child photographs, unless a parent voluntarily submits approved video or media.
6. How We Use Data
We use collected information to:
- Create and manage parent and child accounts.
- Deliver lessons, progress tracking, certification, and platform features.
- Enable “Chat with Jyostna” support.
- Review homework, voice notes, and approved media submissions.
- Improve content quality, usability, and platform performance.
- Detect abuse, protect children, investigate misuse, and maintain security.
- Meet legal, accounting, dispute-resolution, and compliance obligations.
7. Google Analytics, Meta Pixel, and Similar Tools
We may use analytics and advertising / measurement tools such as
Google Analytics and Meta Pixel to understand website traffic,
performance, and campaign effectiveness.
We aim to configure such tools in a privacy-conscious manner. We do
not knowingly share child personally identifiable information with
Google, Meta, or similar providers for profiling or targeted advertising
purposes.
Parents may disable certain cookies or tracking tools through browser controls or site consent settings where available.
8. Child Content and Public Display
Homework, audio, and similar learning submissions are stored for
educational and accountability purposes. Such material is generally
accessible only to the Sanatana School team and authorized systems.
Child videos or similar media will never be made public or shared
with the enrolled family community unless the parent or guardian
expressly approves such display through the platform’s approval
workflow, which may include OTP confirmation.
If a parent has approved content for display, they may later
request removal by emailing us. We will process such requests within a
reasonable time, subject to backup cycles, safety review, and legal
obligations.
9. Data Sharing
We do not sell children’s data or family data.
We may share information only with:
- Payment gateway providers.
- Hosting, storage, email, messaging, analytics, or technical service providers acting on our instructions.
- Professional advisors or auditors under confidentiality obligations.
- Law enforcement, regulators, courts, or government authorities
where required by law or to protect safety, rights, or legal claims.
10. Data Retention
We retain account and transaction information for the duration of the account and for up to 3 years thereafter, unless longer retention is required by law, dispute handling, tax, accounting, or security needs.
Child media such as voice notes, temporary uploads, draft
submissions, and review media may be retained only for a limited
operational period, such as up to 6 months, unless
longer retention is needed for safety review, parent-approved public
display, certification, dispute resolution, or compliance.
11. Parent Rights
Subject to applicable law, parents or guardians may request to:
- Access the data we hold.
- Correct inaccurate information.
- Delete account or child data.
- Withdraw consent for future processing.
- Request restriction of certain uses.
- Object to certain processing activities.
We aim to respond within 30 days, although identity verification may be required before actioning requests.
12. Cookies
We may use cookies, pixels, and similar technologies for login
continuity, analytics, security, preferences, and website performance.
Some cookies are necessary for core functionality, while others may be
optional.
You can control cookies through browser settings and any cookie-consent tools made available on the site.
13. Security
We use reasonable technical and organizational measures to protect
data against unauthorized access, misuse, loss, alteration, or
disclosure. However, no internet transmission or storage system can be
guaranteed 100% secure.
Parents should also help keep data safe by protecting their
password, keeping OTPs private, and supervising child use of the
platform.
14. International Access
If you access the platform from outside India, you understand that
data may be processed in India and in other countries where our trusted
service providers operate, subject to appropriate safeguards and
contractual protections where required.
15. Changes to this Policy
We may update this Privacy Policy from time to time. Updated versions will be posted with a revised effective date.
